Senior Maintenance Administrator

We are looking for a Senior Maintenance Administrator to serve as a key partner to our Maintenance, Engineering, Production, and Leadership teams. In this role, you will play a critical part in supporting maintenance operations, managing data and reporting, coordinating purchasing and inventory activities, and ensuring the accuracy of vital departmental processes.

This position offers the opportunity to work across multiple functions, contribute to continuous improvement efforts, and make a direct impact on plant performance and reliability.

 

What You'll Do

 

Support Maintenance Operations

  • Coordinate and track maintenance work orders to support timely completion of maintenance activities.
  • Maintain accurate equipment, maintenance, and cost records.
  • Assist with maintenance scheduling, reporting, and departmental administration.
  • Serve as a key liaison between Maintenance, Production, Engineering, Purchasing, and Human Resources.

 

Manage Inventory & Purchasing Activities

  • Support MRO (Maintenance, Repair, and Operations) inventory management processes.
  • Process purchase requests and purchase orders through SAP.
  • Obtain vendor quotations and support purchasing decisions.
  • Coordinate warranty claims, repair orders, equipment replacements, and shipping activities.
  • Maintain inventory and procurement documentation.

 

Ensure Compliance & Documentation Accuracy

  • Maintain Safety Data Sheet (SDS) records and related documentation.
  • Create and update Job Safety Analysis (JSA) documentation.
  • Support compliance with company policies, procedures, and regulatory requirements.
  • Prepare reports and maintain records that support operational and maintenance excellence.

 

Support Employee & Payroll Administration

  • Administer weekly payroll activities, including attendance, overtime, vacation, and timekeeping reconciliation.
  • Maintain overtime call-in and force lists in accordance with the Collective Bargaining Agreement (CBA).
  • Support onboarding and administrative activities for new maintenance employees.
  • Serve as a resource for maintenance personnel regarding administrative processes and procedures.

 

Drive Continuous Improvement

  • Identify opportunities to streamline processes, improve recordkeeping accuracy, and enhance workflow efficiency.
  • Participate in special projects and continuous improvement initiatives.
  • Help develop and support best practices that contribute to operational success.

 

What We're Looking For

 

Required Qualifications

  • High school diploma or GED.
  • 5+ years of administrative experience in manufacturing, maintenance, facilities, or a related environment.
  • Strong organizational skills and exceptional attention to detail.
  • Advanced Microsoft Excel skills, including formulas, spreadsheets, and data analysis.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and sound judgment.

 

Preferred Qualifications

  • Associate degree, technical certification, or related education.
  • Experience in a manufacturing or unionized environment.
  • Experience with SAP, CMMS, ERP, payroll, and HRIS systems.
  • Experience working with inventory management, purchasing, and maintenance reporting.
